Zen Ex Machina (ZXM) values the privacy and security of the personal information it collects. This policy explains what personal information ZXM collects, why it is collected, how it is used and held, how you can access or correct it, and how you can raise a concern about ZXM’s handling of it.

ZXM has prepared this policy with reference to the Australian Privacy Principles (APPs) set out in the Privacy Act 1988 (Cth), and the guidance the Office of the Australian Information Commissioner (OAIC) has published on developing a clear and complete privacy policy (Office of the Australian Information Commissioner, n.d.-c). ZXM applies this standard as good practice for a firm advising government and corporate clients on governance, irrespective of the size-based thresholds that determine strict legal application of the Privacy Act to any individual business (Office of the Australian Information Commissioner, n.d.-b).

ZXM does not sell your personal information. Where ZXM engages third-party providers to help deliver its services — for example, website hosting, email delivery, or event ticketing platforms — ZXM only shares the personal information reasonably necessary for that provider to perform its function.

How you can access or correct your information

You may request access to the personal information ZXM holds about you, and you may ask ZXM to correct that information if you believe it is inaccurate, out of date, incomplete, irrelevant, or misleading. This reflects the standard the OAIC sets for a complete APP privacy policy, which must explain how an individual may access personal information held about them and seek its correction (Office of the Australian Information Commissioner, n.d.-a).

To make an access or correction request, contact ZXM using the details at the end of this policy. ZXM will respond within a reasonable period. There is no charge for making a request or for ZXM to make a correction. If ZXM declines a request, it will explain why and outline any avenues available to you to pursue the matter further.

How to raise a concern or make a complaint

If you have a concern about how ZXM has handled your personal information, contact ZXM directly using the details below. ZXM will investigate the concern and respond to you directly.

If you are not satisfied with ZXM’s response, you may lodge a complaint with the Office of the Australian Information Commissioner, which is the independent regulator responsible for privacy complaints in Australia (Office of the Australian Information Commissioner, n.d.-a). Overseas disclosure

Where ZXM uses cloud-based or third-party platforms to deliver its services — including website hosting, email, and analytics tools — your personal information may be held or processed on servers located outside Australia. ZXM takes reasonable steps to ensure any such provider handles personal information consistently with the standards described in this policy.

Data security

ZXM takes reasonable steps to protect the personal information it holds from misuse, interference, loss, and from unauthorised access, modification, or disclosure. Where personal information is no longer needed for the purposes described in this policy and ZXM is not required by law to retain it, ZXM will take reasonable steps to destroy or de-identify it.

Cookies and tracking technologies

ZXM and its third-party partners use cookies and similar technologies to operate the website, understand how it is used, and improve the relevance of content and communications. You can control or disable cookies through your browser settings; doing so may affect some website functionality.
